Privacy Policy
Last updated: September 26, 2026
SS Marketing ("we", "us") provides missed-call text-back, lead follow-up and automated booking for home-service businesses in Canada ("clients"). This policy explains what personal information we collect, how we use it, and your choices. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Information we collect
- From businesses that contact us: name, business name, phone number, email and anything you write in our website form.
- From our clients' customers: when someone calls or texts a client's business number or submits a client's website form, we process their phone number, name if given, the content of their text messages, and job details they share (such as the problem, address or neighbourhood, and preferred appointment time).
- Call records: whether a call was answered or missed, and when.
- Google Calendar data (clients who connect a calendar): free/busy times and the calendar events our service creates. See "Google user data" below.
How we use it
- To text customers back after a missed call or form submission, on the client's behalf.
- To run an automated text assistant that asks about the job, summarises it for the business owner and, where the client has enabled it, books an appointment into the client's calendar.
- To forward messages between customers and the business owner.
- To send follow-up texts when a client has turned them on.
- To produce activity logs and monthly reports for our clients.
- To respond to enquiries about our services.
We do not sell personal information, and we do not use it for advertising.
Google user data
When a client connects Google Calendar, we request access to view free/busy information and to create calendar events. We use this access only to find open appointment times and to add jobs booked through our text assistant to that client's calendar. We store an encrypted access token and the connected account's email address. We do not read the contents of other events, and we do not share Google user data with anyone except as needed to provide this feature.
SS Marketing's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is not used to train AI models.
Clients can disconnect Google Calendar at any time from their settings, or by removing access at myaccount.google.com/permissions. When disconnected, we revoke and delete the stored token.
Service providers
We use trusted providers to run the service, who process data on our behalf:
- Twilio (phone calls and text messages)
- Vercel (website hosting)
- Neon (database)
- Google (Gemini AI for the text assistant, and Google Calendar for bookings)
- EmailJS (delivering our website contact form)
Some of these providers store or process data outside Canada, including in the United States, where it may be subject to local laws.
Text messages and opting out
Customers can reply STOP to any text to stop receiving messages from that business number, and START to opt back in. Message and data rates may apply.
Retention and security
We keep message and activity records for as long as a client uses our service and for a reasonable period afterwards for reporting and legal purposes, then delete them. Access is restricted, data is sent over encrypted connections, and calendar tokens are encrypted at rest.
Your rights
You can ask to access, correct or delete your personal information, or withdraw consent, by emailing hello@ssmarketing.ca. If you are a customer of one of our clients, you can also contact that business directly.
Changes
We may update this policy. The date at the top shows when it last changed.
